Summary
This role provides high-quality, autonomous executive support and governance coordination across the CEO Office. It supports the CEO, Executive Directors, Chief of Staff, Chair and trustees, ensuring disciplined organisation, strong governance practice, and effective planning and prioritisation. 

Executive and Non-Executive Support 

  • Manage complex diaries, ensuring excellent planning, and strategic and proactive prioritisation.
  • Coordinate travel, accommodation and logistics.
  • Prepare briefing materials, presentations and written content.
  • Support high-level meetings, including agendas and follow-ups.

Governance Support 

  • Provide high-quality secretariat services to Board and Committees.
  • Maintain accurate governance records and trustee data.
  • Support annual business and governance cycles and planning.
  • Assist with trustee recruitment, onboarding, induction and compliance.

Cross-organisational Coordination 

  • Support business planning, operational assurance and reporting.
  • Assist with organisational change programmes.
  • Organisation of virtual and in person events,including venue sourcing, on-the-day logistics andfollow up.
  • Managing approvals process and referring colleagues to appropriate policiesprocesses and signatories.
  • Supporting internal communications.

Systems and Continuous Improvement 

  • Streamline processes across governance and administration.
  • Use generative AI tools responsibly to improve productivity.
  • Support financial processes including POs and invoices.

Your profile

  • Significant Executive and ideally Non-Executive experience providing high-level EA and/or governance support
  • Strong judgement,discretion and confident stakeholder engagement.
  • Strong organisational skills and ability to manage competing demands.
  • Excellent written communication and minute-taking skills.
  • Advanced IT skills including Microsoft Office.
  • Ability to work autonomously and proactively.
  • Commitment to ETF values and inclusive working.

Information

The postholder will be expected to be in the office at least once a week, with occasionally being in the office for particular events, Board and Committee meetings. We expect this may be a further 2 days in the office per month.
